Atlantic Realty Vacation Rental Policies
Reservations
Rental weeks begin on Saturday or Sunday as noted in each property description. Reservations can be made online anytime or by calling 800-334-8401 or 800-669-9245 Monday through Sunday 9AM to 5PM EST. A credit card number is required at time of booking a reservation for authorization purposes only.
Partial week reservations are available and nightly rates are denoted in the rate table for those properties that participate. Partial week rentals carry a 3 night/$495 rent minimum. Additional Pool, Hot Tub, and Linen Fees may apply.
Once a reservation is made, a confirmation email will be sent to you directing you to our online GuestWeb system. Using GuestWeb, you may review and electronically sign your vacation rental agreement, as well as make payment by Visa, Mastercard, or Discover (with no additional fee). If you prefer to make your payment by personal check, money order, or cashier’s check, you may print a payment coupon from GuestWeb and mail in your payment. Personal checks will not be accepted if there is less than 30 days before your arrival. Reservations must be completed and confirmed within 5 days of booking as they will be automatically cancelled without notice. All reservations must be paid in full 30 days prior to arrival.
Inclusive Rates = Vacation Value
The rates published on our website are inclusive. There are no additional charges for bringing pets (on properties that permit pets), Security Deposit (with a few exceptions), Damage Waiver Fees, or Credit Card Fees. Please keep this in mind when comparing rates of other accommodations. We also offer the Exclusive Family Fun Program FREE on every vacation—that’s a value of over $225 per day in FREE Area Activities. Taxes will be added to the advertised rental rate as well as a one-time Administrative Fee and Travel Insurance if desired.
Family Fun Program
Atlantic Realty’s Exclusive Family Fun Program offers guests complimentary activities and amenities for each and every day of your vacation!! Enjoy a round of golf, live stage show, beach umbrella rental, sunset cruise, wild horse safari, mini golf, and Lost Colony production each and every day – a retail value of over $225 per day. One complimentary admission per reservation per activity per day and cannot be accumulated or combined with any other offers. Guests will receive a passcard and information about the program upon check in. Golf is available year round and all other activities are available Memorial Day through Labor Day.
Travel Insurance
Travel insurance is offered through Red Sky Travel insurance and protects your vacation investment from unforeseen circumstances such as hurricane evacuation, accident, injury, illness, and even job loss. The cost of this travel insurance coverage is 6.9% of your total vacation cost and is automatically added and due with your advanced rent payment. Coverage begins as soon as payment is received. If you do not wish to purchase this coverage, you may initial to decline on your vacation rental agreement and the premium will be removed. However, we strongly recommend travel insurance as in most cases it is the only way to receive a refund on your vacation rental if you must cancel. Please review the cancellation policy to understand your risk.
Taxes
All vacation rentals are subject to local county occupancy and state sales taxes. Taxes are subject to change without notice and any increase in tax rates will be added to your vacation rental amount. Tax rates are based on time of occupancy and not based on date reservation was made.
Accidental Damage Protector (ADP)
The Accidental Damage Protector (ADP) is automatically included in your rental and designed to cover accidental damage during the vacation stay up to $1500. ADP does NOT cover intentional damage, theft, Acts of God, defective parts, long distance and pay per view cable charges, gross negligence, pet damage, loss of use, normal wear and tear, or any cause not reported IN WRITING to our office by the end of the Guest’s stay.
All breakage and property damage during your occupancy must be reported to our office. Guests are responsible for and expected to assume liability for any damage to the property and its contents, other than normal wear and tear, during their occupancy.
Security Deposits
Some properties may require an additional refundable Security Deposit which will be noted in the property description. Security Deposits are refunded within 45 days of departure. Properties are carefully inspected after departure and security deposits will be adjusted if any damage is found. If the damage exceeds the amount of the security deposit, Guests will be billed for the additional amount and it will be due in full within 30 days.
Family Group Policy
It is the policy of Atlantic Realty to rent only to family groups due to the obligations to our Owners. You must be at least 25 years of age. We lease property without regard to race, color, religion, sex, national origin, handicap or familial status of any party. A family group is defined as parents, grandparents, children and extended family members vacationing in one home. A non-family group is defined as unmarried young adults, high school students, college students, or any other group type situation. No wedding groups, chaperoned or unchaperoned, fraternities, school or civic groups allowed. Properties are patrolled on a regular basis. IDs must be furnished upon request. ABSOLUTELY NO HOUSE PARTIES ALLOWED. Violation of this policy is grounds for expedited eviction with NO REFUND OF RENT. NC Gen. Stat. 14-100 makes it illegal to obtain any rental unit under false pretenses.
Property Occupancy
Our occupancy limits are determined by local health department laws on homes served by septic tanks and must be adhered to. Maximum occupancy for each property is listed in the description and applies to children as well as adults. Campers and motor homes are not permitted to be parked on the premises and used as extra sleeping. Exceeding property occupancy is subject to expedited eviction with No Refunds, No Exceptions.
Cancellation Policy
A fee equal to 10% of the base rent as well as the Administrative Fee and Travel Insurance (if applicable) will be charged for any cancelled or changed reservation. If a confirmed reservation is cancelled, no refunds can be made until the property has been re-rented and confirmed. If the property is not re-rented, the entire advanced payment must be forfeited. In addition, no refunds of any kind other than the aforementioned cancellation refund can be made without the authorization of the property owner. No transfer can be made once the reservation has been confirmed and an advanced payment has been received and forwarded to the property owner. All cancellations must be received in writing. We recommend Travel Insurance to protect your vacation investment against unforeseen circumstances that would cause you to cancel such as accident, illness, injury, family emergency, or job loss. Cancellations with travel insurance coverage must make a claim with Red Sky Travel Insurance. Claim forms may be found on their website http://www.trippreserver.com/ or by calling their customer service number 866-890-6499.
Check In/Check Out
Check in time is 4:00PM on your scheduled arrival day. All properties Duck and north with check in and out of our Duck Office located at 1180 Duck Road. All other properties will check in and out of our Kitty Hawk location. We must adhere to our 4PM check in time to allow ample time for properties to be properly cleaned and inspected between Guests. Do not arrive or park at the property. This will only delay the cleaning and inspection process. If you expect to arrive after hours, please notify our office so that arrangement for your keys and check in package can be made.
A limited number of 1:00PM check ins will be offered for those Guests with special arrival needs. Please mark the “Early Check In” space on your agreement to request this service. The cost is $50 and is payable upon arrival. If you request the Early Check in Service but fail to arrive by 1:00PM, you will still be charged the fee. We cannot offer Early Check In if the Owner has the preceding week, repair work is needed, the property allows pets, or any other unforeseen circumstance.
Check out is 10:00AM on your scheduled day of departure. Due to the tremendous responsibility we have in cleaning and preparing the property for the next guest, we must strictly adhere to the check-out time. Keys must be returned to the same office in which they were picked up. Drop boxes are available at both locations for guests who wish to leave early before the office is open.
Linens and Towels
Most of the rental properties DO NOT provide bed linens and bath towels. Exceptions are noted in the property description. Linens and towels may be rented through our office.
Pets (Dogs Only)
Absolutely NO PETS are permitted on any premises unless otherwise stated in the individual property description. Pets shall be limited to 2 domestic, housebroken adult dogs (no puppies). There is no additional pet fee or security deposit required for bringing your pet to a home that allows pets. No cats are permitted. Dogs are not allowed on many beaches during the summer months. Please consult the individual towns for ordinances regarding dogs on the beach. Dog owners will be liable for any damage and ALL dogs must be declared at check-in. Violation of this regulation is grounds for expedited eviction without refund. Absolutely no dogs are permitted in pools and hot tubs.
Housekeeping
We ask that Guest’s treat each property as if it were their own. Please leave it clean, neat, and undamaged. A light cleaning is provided after every Guest departure. We ask that Guests remove all trash from inside of the property upon departure as well as return any moved furniture to its original position, make sure all doors and windows are locked, and lights are out. We are pleased to offer the added convenience of housekeeping service during your stay or at check-out. Our mid-week cleaning service rates are reasonable. Please contact our office for pricing and arrangements.
Private Pools and Hot Tubs
Some homes feature private pools, heated pools, and hot tubs. Unless otherwise indicated in the property description, pools are open and available for use May 15th through October 1st, weather permitting. Heated Pools may charge an additional fee and water temperature is not guaranteed. Hot Tubs are available year round unless otherwise indicated in the individual property description. Hot Tubs may carry an additional service charge in the off season or for partial week rentals. Hot Tubs or Softspas may not be rented or placed at any of the properties for risk of electrical or structural damage. Pools and Hot Tubs are cleaned and service before check in and once mid-week. Pets are NOT PERMITTED in pools or hot tubs and Guests will be responsible for any damage to the equipment or any additional cleaning required due to Guest negligence or abuse.
Furnishings and Equipment
All rental properties are privately owned and reflect the needs and tastes of their owners. Our standards are high in property selection. The condition of the property, as well as the furnishings, will vary according to the individual owner’s tastes. All properties are furnished with cable TV and phones unless otherwise stated in the individual property description. Properties are also furnished for normal housekeeping with table settings, glassware and cookware. Pillows, mattress pads and bedspreads are provided for each bed. Guests should bring any special kitchen items used during their daily routine.
Locked Closets
Most of our property owners maintain a locked are in their property for their own use. Please respect these areas, as they are not intended for Guest use.
Parking
Please be advised the parking capacity at the majority of our properties is never more than the number of bedrooms. For example, a 3 bedroom would typically have parking for 3 cars and a 4 bedroom home would have parking for 4 cars. Very few properties have the capacity for more than 5 vehicles even if the property has more than 5 bedrooms. We encourage you to consider limiting the number of vehicles you bring to the Outer Banks. With your help, we can reduce traffic as well as improve your vacation and the beautiful environment. Parking regulations are enforced in many areas of the Outer Banks and if your car is parked on the street in front of the property, you risked being ticketed or towed.
Grilling
Grilling is not permitted except on concrete surfaces. Do not attempt to use outdoor grills on decks, porches or near wooded areas. Please be sure you clean the grill and dump the ashes before you vacate so the next Guest finds it ready for use. If a gas grill requires propane, it is available at many locations in the area and will be the responsibility of the Guest to replace.
Fireworks
Fireworks are not permitted on the property including on decks, walkways, driveways and yards. Many towns have strict ordinances regarding fireworks and bonfires. Please refer to the individual town ordinances for details.
Tentative Reservations
We are happy to accept advanced reservations for the following year. If the property you desire is available, we require an advance rental reservation processing fee of $20 plus tax. You will have 10 days to confirm your reservation once the agreement is mailed/emailed to you in December. This advance reservation processing fee is non-refundable and non-applicable.
Maintenance, Bad Weather and Refunds
Atlantic Realty will make every effort to make this the most enjoyable vacation ever. All of the equipment in the property should be in working order. Please report any inoperative equipment to our office promptly. There will be NO REFUND for any mechanical failures of air conditioning, refrigerators, dishwashers, washers, dryers, televisions, VCRs, DVD players, or Internet access due to the limited repair service in our area. We will make every effort to have any item repaired as quickly as possible as we ask for your understanding and patience in these circumstances. We can no longer offer refunds in the event of a natural disaster that requires mandatory evacuation. Fortunately, travel insurance is available to protect your vacation investment.
Construction
New construction is part of the Outer Banks. If your rental property is near new construction, please be understanding. NO REFUNDS OR MOVES WILL BE MADE.
Water Potability
Some areas have varying water quality so it is advisable to stock bottled water for consumption during your stay. Some homes have wells and water treatment systems. The water may not be what you’d prefer to drink, however it is safe to do so. Clothing washed in this water may become discolored. There will be no refund in regards to water quality.
Beach Nourishment
Some areas along the oceanfront will be part of a Beach nourishment project. You may experience some inconvenience during this time. No Refunds or Moves will be made as a result of beach nourishment.
Distance
Distances stated are approximate and are intended for reference points only. Atlantic Realty will not be responsible for inaccurate distances or the location or condition of the public beach access.
Errors
Every effort has been made to make sure that information published here is as up to date as possible. However, rates, descriptions, and property amenities advertised are subject to change without notice. Omissions, typos, errors, or any changes in bedding, furnishings and equipment shall not be the responsibility of the Owner, Agent, or Webmaster.
